USIT-JOBS uses personal information to provide job-search and hiring workflows. You can manage key visibility, recruiter-contact, notification, and personalization choices in Settings.
1. Scope of this notice
This Privacy Policy explains how USIT-JOBS collects, uses, discloses, retains, and protects personal information when job seekers, employers, recruiters, and company team members use our website, APIs, account tools, job marketplace, application workflows, notifications, and interview features. It applies to USIT-JOBS processing. An employer that receives an application may separately control its copy of candidate information under its own privacy obligations.
2. Information we collect
- Account and verification data: name, email address, phone number, password hash, account role, verification status, OTP records, and login credentials.
- Job-seeker profile data: location, date of birth, gender, visa or work-authorization status, professional summary, role, experience, salary and availability preferences, work mode, skills, education, profile photo, portfolio and LinkedIn links.
- Resume and application data: uploaded resume files and metadata, saved jobs, applications, application status, job details, and relevant communications.
- Employer and company data: representative identity, company-domain email, company profile, website, location, leadership contacts, logo, banner, gallery, industry, company size, social links, team members, and job postings.
- Interview and notification data: proposed and selected interview slots, time zone, interview details, Vedameet and calendar links, notification state, and reminder schedules.
- Preferences and activity: visibility, recruiter-contact, communication, security, personalization, job-alert, and activity-tracking choices.
- Technical data: request, device, browser, IP, diagnostic, security, and session information produced when the Platform is accessed.
3. How information is collected
We collect information directly when you register, verify an email or phone number, build a profile, upload a file, subscribe to job updates, save or apply for a job, publish a company profile or job, manage an applicant, or schedule and confirm an interview. We also receive data through Google sign-in when you choose it, from employers and candidates participating in a hiring workflow, and from job-data providers used to display third-party opportunities. Technical and security data may be collected automatically when you use the Platform.
4. How we use information
- Create, authenticate, secure, recover, and administer job-seeker and employer accounts.
- Verify email addresses, phone numbers, company domains, and company information.
- Display jobs, companies, profiles, applications, saved jobs, and relevant search results.
- Allow authorized employers to review applicants and manage legitimate hiring workflows.
- Send requested OTPs, password-reset messages, job alerts, application updates, interview invitations, confirmations, and reminders.
- Create interview slots, Vedameet links, and calendar actions after the applicable workflow is completed.
- Honor profile visibility, resume visibility, recruiter contact, notification, and personalization settings.
- Prevent fraud and abuse, investigate errors, enforce our Terms, and comply with legal obligations.
- Measure and improve reliability, usability, search relevance, and platform security.
5. Job-seeker visibility and employer access
Job-seeker information is not employer account data. Authorized employers may receive the candidate information needed to review an application or use permitted recruiting features, subject to the job seeker's visibility and contact settings. Resume visibility and profile visibility can be managed in Settings. When supplied, visa or work-authorization status is visible to authorized employers reviewing the candidate. Employer credentials, private company-team data, passwords, internal account details, and unrelated applicant records are not exposed to job seekers. Employers must use candidate information only for legitimate recruitment and are independently responsible for information they lawfully download or retain.
6. When information is disclosed
- To employers and candidates: as necessary for applications, applicant review, status updates, interviews, and hiring communications.
- To service providers: infrastructure, database, storage, email, AWS SNS or configured SMS delivery, authentication, calendar, company-data, analytics, security, and support providers acting for the Platform.
- To Vedameet: when interview meeting functionality is used, subject to Vedameet's own terms and privacy practices.
- For legal and safety reasons: when reasonably necessary to comply with law, valid legal process, protect users, investigate fraud, or enforce agreements.
- For a business transaction: in a merger, financing, acquisition, restructuring, or transfer of assets, subject to appropriate safeguards and notice where required.
- With your direction: when you intentionally connect, export, share, or authorize information through a Platform feature.
7. Sale, advertising, and automated decisions
USIT-JOBS does not currently sell personal information for money and does not currently use personal information for cross-context behavioral advertising. Job matching, search, filtering, and profile-strength features help organize information; they do not make final employment decisions. Employers remain responsible for all interview, selection, rejection, and hiring decisions. We will update this Policy and provide legally required choices before materially changing these practices.
8. Cookies, tokens, and similar technology
The Platform uses browser storage and similar technology to maintain authentication, remember a login when requested, preserve essential preferences, protect sessions, and support core functionality. A remembered authentication token may remain on the device until logout, expiration, or removal; a non-remembered token is limited to the browser session. Third-party sign-in or embedded services may use their own cookies under their policies.
9. Communications and your choices
Job seekers can manage application emails, interview alerts, job matches, saved-search alerts, recruiter messages, newsletters, promotions, push notifications, job-alert frequency, profile visibility, resume visibility, recruiter contact, personalization, and activity settings from the Settings page. Newsletter subscriptions may be managed separately. Essential security, verification, password-reset, legal, and service messages may still be sent when needed to operate or protect an account.
10. Retention
We retain information only for as long as reasonably needed to provide the requested services, maintain hiring and security records, resolve disputes, enforce agreements, and satisfy legal obligations. Verification and password-reset codes expire and are retained only as needed for security and audit controls. Deleting an account does not necessarily remove copies already lawfully received by an employer, records required by law, fraud and security records, or limited backup copies that age out under normal backup schedules.
11. Security
We use reasonable administrative, technical, and organizational safeguards, including role-based access controls, authentication middleware, hashed passwords and one-time codes, restricted employer and job-seeker routes, and validation of sensitive operations. No online system can guarantee absolute security. Keep passwords and OTPs confidential, use accurate contact information, log out of shared devices, and report suspected unauthorized access.
12. U.S. privacy rights
Depending on your state and applicable law, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; to learn about its collection and disclosure; to opt out of certain sale, sharing, targeted advertising, or profiling; to limit certain uses of sensitive information; and to appeal a denied request. We will not unlawfully discriminate against you for exercising a privacy right. Because we do not currently sell personal information or use it for cross-context behavioral advertising, those opt-outs do not change current Platform behavior.
13. Exercising privacy rights
You can correct much of your information through Profile, Personal Information, Company Profile, and Settings. Other access, deletion, portability, objection, or appeal requests can be submitted through Help & Support while signed in. We may verify identity, account ownership, company authority, and state of residence before completing a request. An authorized agent may act where permitted by law, subject to proof of authority and identity verification. We respond within the period required by applicable law.
14. Sensitive information, children, and international use
Do not upload government identifiers, financial-account credentials, medical records, or other sensitive information unless a specific lawful Platform workflow requests it. The Platform is intended for people legally able to seek work or conduct hiring and is not directed to children under 13. USIT-JOBS is focused on United States opportunities, but users or providers may operate elsewhere; information may therefore be processed in the United States and other locations with appropriate protections as required by law.
15. External jobs, links, and services
Some jobs, apply links, company information, authentication tools, meeting tools, calendar services, and communications are supplied by third parties. When you leave USIT-JOBS or submit information directly to another party, that party's privacy notice applies. Review external terms before providing information. USIT-JOBS is not responsible for independent third-party privacy practices.
16. Policy updates and contact
We may update this Policy to reflect Platform, provider, security, or legal changes. The revised date will appear above, and material changes will be communicated through the Platform or registered contact details where required. Privacy questions, rights requests, and security concerns should be submitted through Help & Support. Do not include a password, OTP, or unnecessary sensitive information in a support request.
